Free Sample Automation

Steal the customer intake automation.

This is the first workflow I’d install for most small businesses: turn messy form/email inputs into a clean internal handoff with missing info, risk flags, and the next action.

Use Case

The pain

New leads arrive through forms, DMs, forwarded emails, PDFs, or half-complete notes. Somebody burns time figuring out what they want and what is missing.

The tiny win

Every intake becomes the same clean handoff: summary, goal, missing fields, risk flags, and recommended next action.

Copy/Paste Prompt

The prompt.

You are an operations coordinator for a small business. Turn the customer intake below into a clean internal handoff. Do not invent facts. If something is missing, mark it as missing. Keep it concise and action-oriented. Return: 1. Customer summary 2. What they want 3. Missing info 4. Risk/urgency flags 5. Recommended next action 6. Draft internal handoff message Intake: {{paste customer email, form response, or notes here}}
Install It This Week

The 5-step install.

1. Pick one intake source.

Start with the messiest one: website form, forwarded email, quote request, new customer setup, or DM.

2. Test five real examples.

Do not use fake data. Run five old customer requests through the prompt and compare to what the business actually needed.

3. Add required fields.

Make a short list of missing fields that appear repeatedly. Those become form updates or follow-up questions.

4. Human approval only.

The AI writes the handoff. A human still approves the next action/customer reply until quality is boringly consistent.

5. Save the SOP.

Document where inputs come from, who reviews output, and what happens after approval.
