Free Auto Glass Swipe Pack · VIN & Glass Triage · Insurance Direct-Bill · ADAS

Six owner-approved scripts for auto glass shops that lose margin — and repeat business — between the first call and the ADAS recalibration.

The 8AM call is a Tahoe with a golf-ball crack in the driver's line of sight and a Safelite quote already in the customer's hand. The 11AM text is a Model 3 windshield replacement where the customer doesn't know their policy covers glass at $0 deductible and doesn't know the front-camera ADAS needs recalibration before they can drive it home. The direct-bill claim you sent to Safelite Solutions Network / LYNX Services / Harmon / Gerber last week just got kicked back because the VIN and part number don't match. And your GBP profile is bleeding leads to national mobile chains because your intake takes 20 minutes to quote what should take 2. These scripts qualify the VIN and glass part fast, confirm the deductible and network before you order glass, set an honest ADAS-calibration expectation, and stop the direct-bill claim from getting rejected on a technicality.

01

VIN and glass intake triage (voice or text)

For an incoming chip, crack, or full-replacement inquiry. Collects the six facts you need before you can quote, order glass, or open a claim.

This is [Shop Name] — I can help. Before I quote you or order glass, I need six things fast so I can send you a real number and a real appointment instead of a guess: 1) Year / make / model / trim — and can you send me the 17-character VIN (front dash on the driver's side, or on your insurance card)? 2) Which glass — windshield, driver/passenger door, back glass, quarter, sunroof, or vent? 3) Damage — chip (smaller than a quarter, repairable) or crack / shatter / spider (replacement)? Any damage in the driver's direct line of sight? 4) Does the vehicle have any of these: rain sensor, heated wiper park, HUD, lane-keep / lane-departure camera, forward-collision camera, night vision, acoustic laminated glass? 5) Are you filing on insurance (glass claim / comprehensive) or paying cash? 6) Where should we do it — shop appointment, or mobile at your home / work address / ZIP? Text a picture of the damage if you can. I'll come back with a price, an ETA on the glass, and whether ADAS recalibration is required in under 5 minutes.
02

Insurance direct-bill confirmation

Sent as soon as the VIN and coverage come back. Confirms deductible, network, and ADAS coverage before the glass is ordered — the single biggest reason direct-bill claims get kicked back is a mismatch here.

Here's what your insurance actually covers, in writing, before I order the glass: - Carrier: [carrier] · Policy: [last 4] · Network: [Safelite Solutions / LYNX / Harmon / Gerber / open shop] - Glass claim deductible: $[X] (comprehensive full glass) or $[Y] (regular comp deductible if no glass rider) - ADAS recalibration: covered / not covered as a separate line item — [confirmed with dispatcher name / claim ref]. - Rain sensor / HUD / acoustic upgrades: covered at OEM / OEE part per policy. - Your out-of-pocket today: $[amount]. That does not change unless we find hidden damage during removal, and I will call you before I touch it if we do. Reply YES to open the claim and lock the appointment. If any of that doesn't match what your carrier told you, tell me now and I'll get it straightened out before I order a $[X] windshield we can't return.
03

ADAS recalibration expectation (before the install)

Sent the day before or the morning of any windshield replacement on a vehicle with a forward-facing camera. Prevents the "I paid you and now my lane-keep doesn't work" call.

[First Name] — quick heads-up before tomorrow's install. Your [year make model] has a forward-facing camera bonded to the windshield (lane-keep, forward-collision, auto high-beam). Federal safety guidance and the OEM service manual require an ADAS recalibration any time that glass comes off. Here's what that means for you: - Static calibration in the shop with a target board, OR - Dynamic calibration on a road drive, OR - Both (dual) — depending on your [make] procedure. - Time: [X] additional minutes / hours on top of the install. - Cost: [$Y flat, or covered under your claim as confirmed with [dispatcher]]. - If we skip it (some customers ask): your ADAS features may be inaccurate or disabled and the [make] service light will stay on. I won't hand the vehicle back with the light on without telling you first. Reply YES to keep the calibration on the appointment, or CALL if you want to talk through the options.
Cash-pay quotes, mobile service, and reviews
04

Cash-pay quote (no insurance)

For customers filing no claim — fleet, lease turn-in, out-of-pocket, or "I don't want my rates to go up." Honest tiered quote with OEM vs. OEE glass called out.

Cash-pay quote for your [year make model] [glass type]: - OEM glass (dealer part, [logo] etched): $[X] installed. - OEE glass (aftermarket, DOT-approved, same fit and safety spec): $[Y] installed. - Chip repair (if a crack is under 6" and out of the driver's line of sight): $[Z] — 20 minutes, no ADAS required. - ADAS recalibration (if required for your vehicle): $[C] flat, added only if needed. - Mobile service (we come to you within [radius] miles): $[M] add-on, weather-permitting. That's the honest call. Chip repair is usually the smart move if the crack qualifies — it's faster, keeps the factory seal, and won't trip an ADAS recalibration. If it doesn't qualify, I'll tell you on-site before I touch it. Reply with the option you want and I'll lock the slot.
05

Mobile service confirmation (day-of)

Sent the morning of a mobile install. Sets a real arrival window, calls out the workspace requirements, and prevents the weather-canceled trip.

Hey [First Name] — [tech name] is rolling to you today for the [glass type] on your [year make model]. - Arrival window: [start] – [end] - What we need on your end: a flat parking spot, roughly one car-width of clearance around the vehicle, access to power for the calibration equipment (a garage or covered carport is ideal), and about [X] hours where the car doesn't have to move. - Weather: mobile install needs no active rain and ambient temp above [40°F]. If we hit either, I'll call you before we leave and we'll reschedule or move it to the shop at no charge. - After install: the urethane needs [1 hour] to reach safe drive-away strength. [Tech name] will tell you the exact minute you can drive it. Reply YES if that all still works, RESCHEDULE if today's off, or CALL if you have any questions.
06

Post-install review request

Sent 24–48 hours after the install, from the operator, human-approved. National chains dominate Google — an honest local review is the entire reason an independent glass shop gets picked next time.

Hey [First Name] — hope the [year make model] is driving right and the [lane-keep / rain sensor / HUD] is behaving. If the install went well, would you leave a quick Google review? Direct link: [review URL]. Auto glass is a search-first business — the shops that show up in the top three get the calls, and one honest local review offsets a lot of chain advertising. Also — if anything about the install, the calibration, or the direct-bill felt off, text me first before you leave a bad review. I'd rather fix it than argue about it on Yelp.
Automation map

Turn calls, texts, third-party network dispatches, GBP messages, and web-form quotes into one triaged queue with the VIN, the deductible, and the ADAS status pre-filled.

Capture

Every inbound call, text, voicemail, Google Business Profile message, web-form quote request, and third-party network dispatch (Safelite Solutions Network, LYNX Services / Enterprise, Harmon, Gerber Collision, Glaxis, Mitchell) creates one job card — synced from your shop management stack (Mainstreet Computers GlasPacLX, Mitchell GlassMate, Quest Automotive Solutions, Tekmetric, Shopmonkey, Podium, Broadly, GBP) and your VoIP or answering service.

Triage

Tag chip vs. replacement, VIN decoded to trim and ADAS package (front-camera / HUD / rain sensor / heated / acoustic), insurance direct-bill vs. cash-pay, network in-scope vs. out-of-network, mobile vs. shop, weather window, glass availability at your supplier (Pilkington, Fuyao, PGW, XYG), and appointment slot. Anything requiring ADAS recalibration gets flagged for equipment/bay availability before the appointment goes on the board.

Draft

AI drafts from approved quote ranges and confirmed deductibles only. No quoting a windshield price without a VIN. No opening a direct-bill claim without a confirmed network and deductible. No promising an OEM part when the supplier only has OEE in stock. No handing a vehicle back post-install without an ADAS calibration status. Nothing auto-sends past name + damage type + appointment window without your approval on your phone.

Assign

You (or the service writer) open one queue between customers: VINs waiting on a quote, claims waiting on a deductible confirmation, mobile jobs waiting on a weather / arrival window, in-shop installs waiting on an ADAS calibration slot, direct-bill claims kicked back for correction, and post-install review requests. All you do is tap send.

Measure

Track call-to-quote response time, quote-to-appointment conversion, direct-bill first-pass acceptance rate (this number kills or saves your net margin), ADAS attach rate on eligible vehicles, mobile-service reschedule rate for weather, cash-pay vs. insurance mix, OEM vs. OEE mix, and Google review count and average over the last 30 days versus the two closest national chain locations.

Not an insurance product, not a legal product, not a substitute for the vehicle OEM service manual or the AGRSS glass-replacement safety standard. Every reply in this pack assumes owner or writer-of-record approval before send. Results depend on your network mix, glass supplier availability, ADAS equipment, tech coverage, and how honestly you quote before the glass is ordered. Do not misrepresent covered work to a third-party network dispatcher, do not skip ADAS recalibration when the OEM procedure requires it, do not install glass without a confirmed deductible from the carrier, and follow the AGRSS standard and all applicable state auto-glass licensing rules.
